Event transport in Paraguay
Conferences, trade fairs, concerts and competitions. We move attendees, delegations and teams between hotels, venue and airport, with one person coordinating the whole fleet.
The service at a glance
Everything you need to know
An event is not solved with separate transfers. There are arrival peaks, simultaneous movements between hotels and venue, and schedules that change as you go. That is why the service is built as an operation with a fleet plan, not as a sum of trips.
| Format | A coordinated operation with a fleet plan and timings |
| Vehicles | Sedan, Hyundai H1 minivan up to 7 and Mercedes Sprinter for 8 to 14 |
| Fleet | Several vehicles in parallel, with no cap on the number |
| Coordination | One single contact who answers throughout the event |
| Typical movements | Airport · hotel · venue · dinner · return |
| Coverage | Asuncion, Greater Asuncion and venues in the interior |
| Foreign delegations | Drivers who speak English or Portuguese, on request |
| Invoicing | Legal Paraguayan invoice, or a monthly account for regular organisers |
| Booking | Once the date is confirmed the fleet can be blocked |
How it is organised
From the brief to the last departure transfer
What we are after is that the organiser has one single point of contact for all transport.
- 1
The brief
Dates, number of attendees, hotels, venue and where each group is arriving from.
- 2
The fleet plan
How many vehicles per time slot and how many runs each one makes.
- 3
A fixed price
One quote for the whole operation, with any extras stated up front.
- 4
The days before
We confirm flights, final timings and last-minute changes.
- 5
During the event
An operations contact on hand, with the fleet already assigned.
- 6
Departures
Return transfers to the airport are scheduled by flight, not by hotel.
Operation or separate transfers
Why one operation works better
Past twenty attendees, booking trip by trip stops working on day one.
If the event is corporate and recurring, it is worth opening a corporate transport account.
| Coordinated operation | Separate transfers | |
|---|---|---|
| Price | Fixed for the whole operation | Per trip |
| Arrival peaks | Planned into the fleet plan | Improvised on the spot |
| Schedule changes | The fleet is rearranged | Every trip has to be renegotiated |
| Point of contact | Just one | One per vehicle |
| Invoicing | A single invoice | One per service |
| Worth it if | There are 20 attendees or more | It is two or three transfers |

Reference prices
What it costs
The full operation is quoted as a whole. These are the standalone reference prices.
| Service | Capacity | Price |
|---|---|---|
| Mercedes Sprinter · transfer | 8 to 14 passengers | USD 189 |
| Hyundai H1 minivan · transfer | Up to 7 | USD 69 |
| Vehicle at your disposal · full day | Up to 8 hours | USD 197 |
| Airport transfer · sedan | Up to 3 | USD 49 |
For an event it is better to quote the whole operation: the fleet plan lets one vehicle cover several movements, and that brings the cost per attendee down. Send us the brief and we will send back a fixed quote.
Legal Paraguayan invoice · monthly account for regular organisers.
Which events we cover
Practical information
Different formats, the same operating logic.
Types of event
| Conferences and trade fairs | Hotel · venue shuttle, in time slots |
| Concerts | Production and audience movements |
| Sporting events | Teams, delegations and press |
| Incentives and company trips | A full agenda with a driver at your disposal |
The fleet
| Sedan | Up to 3 passengers |
| Hyundai H1 minivan | Up to 7 passengers |
| Mercedes Sprinter | 8 to 14 passengers |
| Several vehicles | No limit, running at once |
The fleet is assigned by time slot, not by group. The same vehicle can cover the morning arrivals and the transfer to dinner, and that is what makes the operation cost less than the sum of the trips.
Every vehicle runs with current paperwork and valid insurance, and the drivers are licensed to carry passengers.

FAQ
Frequently asked questions
What organisers ask before signing off.
How is event transport quoted?
As one operation. With the dates, the number of attendees, the hotels and the venue we build a fleet plan by time slot and give you a fixed quote for everything, rather than adding up separate transfers.
How many attendees can you move?
There is no cap: the fleet runs in parallel. Each Mercedes Sprinter carries 8 to 14 passengers and each Hyundai H1 minivan up to 7, and as many vehicles as needed are assigned per time slot.
What happens if schedules change during the event?
The fleet is rearranged. That is why there is a single operations contact: instead of renegotiating trip by trip, the whole plan is adjusted at once and vehicles are reassigned.
Do you cover events outside Asuncion?
Yes, nationwide. Venues in the interior are quoted according to distance and, if the event runs several days, driver overnight stays are built into the same budget.
Do the drivers speak English or Portuguese?
We can assign drivers who speak English or Portuguese. For conferences with foreign delegations it is worth setting this out in the brief, so it is built into the plan rather than depending on who is free.
Do you handle airport arrivals and departures?
Yes, and they are scheduled by flight, not by hotel. We track flight numbers, so delays do not break the plan and an attendee arriving late still has their vehicle.
Do you issue a legal invoice?
Yes, a legal Paraguayan invoice to the company or organiser. If you run events regularly it is worth opening a monthly account and invoicing everything monthly rather than event by event.
How far in advance should we book?
Once the date is confirmed it is worth blocking the fleet, especially if the event coincides with others in the city. For large operations, the earlier we have the brief, the better the plan comes out.
Does it work for concerts and productions?
Yes. There are usually two separate operations there: production movements, which run overnight and with equipment, and audience or guest movements. They can be quoted together or separately.
And for sporting events?
Yes, teams, delegations and press. It is the same fleet-by-time-slot scheme, with the difference that competition times are fixed, which makes the plan more predictable.
Can a city tour be added for attendees?
Yes, and it is common at conferences with accompanying partners. It is built as one more movement in the plan, with the same vehicle and a bilingual driver-guide if requested in advance.
Who do we talk to during the event?
One operations contact, the same person who built the fleet plan. There is no need to coordinate with each driver or explain the event again: that person has every time and address.
What is your event?
Tell us the dates, how many attendees there are and where they are staying. We will build the fleet plan and the fixed quote.
One quote for the whole operation · legal invoice · single contact.
